Les Caraïbes Nordiques™

The purchase of any vacation package or goods and services constitutes a contractual agreement and means that you acknowledge that you have read the Terms and Conditions and the responsibilities set out below and that you agree to their application. Therefore, make sure you have taken the time to read and understand these Terms and Conditions before making your purchase.

Les Caraïbes Nordiques represents a group of tourist establishments. Some of them are owned by the group (Baronnie de Kamouraska, Lac Victor and La Corneille), while others are partners (Château Johan-Beetz, Écolodge Camp Barnoin and Rapid Lake Lodge) that have the right to use the name, and for which it manages the marketing and operations. All of them meet the standards that we want to implement by 2023 in accordance with the principles of Responsible and Sustainable Tourism, to make Les Caraïbes Nordiques a new international destination representative of the reconciliation of peoples and traditions, and entirely dedicated to the preservation of the northern ecosystem.

The General Conditions are applicable to all the establishments of Les Caraïbes Nordiques, however some of our establishments could have specific conditions.

"Les Caraïbes Nordiques" called hereafter the company reserves the right to modify or change the Terms and Conditions at any time without prior notice to you. We therefore recommend that you read them carefully each time you purchase one of our vacation packages, goods or services.

1. TERMS AND CONDITIONS (INCLUDING COVID-19 SPECIAL INSTRUCTIONS)
1.1. RESERVATION, DEPOSIT AND FINAL PAYMENT

To make a reservation in one of our establishments, you must contact us in order to receive the necessary documents for your registration. You will have to fill in the registration form with the details of all the participants and return it to us signed. We also ask that each client read and sign the following documents, either at the time of reservation if the document is attached or upon arrival at the site: the "Internal Regulations" and the "Acknowledgement and Acceptance of Risk Form" of the company. Otherwise, the client could be refused access to our territories or to the planned activity.

The following conditions are valid for all our packages including more than three (3) nights in one of our establishments.

  1. A deposit of 30% of the total amount of the package is required at the time of reservation. Failure to receive this amount within seven (7) days of booking may result in the cancellation of certain promotions or your reservation.
  2. A second deposit, corresponding to 40% of the total amount of the package is required one hundred and twenty (120) days before your arrival date and no later than February 15 or March 15 of the year of your stay, depending on the site where you stay. These indications are specified in your contract.
  3. Unless otherwise specified, the final payment, i.e. the remaining 30% of the total amount of the package, must be paid sixty (60) days before your arrival date and no later than April 15 or May 15 of the year of your stay, depending on the site where you are staying. These indications are specified in your contract.
  4. For all reservations made before February 15 or March 15, depending on the site, it is also possible to make a payment in two installments: a deposit of 50% at the time of reservation, and a final payment of the remaining 50% at least sixty (60) days before your arrival date and no later than April 15 or May 15 of the year of your stay, depending on the site where you stay. These indications are specified in your contract.
  5. For all reservations made between February 15 and March 15, 70% of the total amount of the package must be paid at the time of reservation, and the remaining 30% must be paid by April 15 or May 15 of the year of your stay, depending on the site where you are staying. These indications are specified in your contract.
  6. For all reservations made after February 15 or March 15, depending on the site, 100% of the package amount must be paid at the time of reservation. These indications are specified in your contract.

The following conditions are valid for all our packages including three (3) nights or less in one of our establishments.

  1. Full payment for the stay must be made at the time of reservation.

The company reserves the right to cancel any reservation for which payment has not been received within the above-mentioned terms.

Payment methods accepted are: check, bank transfer, Interac transfer, Visa or Mastercard credit cards and cash (for on-site purchases).

All bank charges to make a transaction are the responsibility of the client. Since the price of the packages is in Canadian dollars, the payment must be sent in this currency.

1.2. CANCELLATION AND REFUND

In the event that the client must cancel his reservation, cancellation fees will be imposed, regardless of the reason for the cancellation. The following conditions are valid for all our packages including more than three (3) nights in one of our establishments.

  1. In the case of a package cancelled one hundred and twenty (120) days or more before the scheduled start date of the stay, the deposit paid at the time of reservation is 100% non-refundable.
  2. If the package is cancelled between one hundred and nineteen (119) and sixty (60) days from the scheduled start date of the stay or no later than February 15 or March 15 of the year of the stay, depending on the site, the entire amount paid as the first and second deposit will be non-refundable, which is the equivalent of 70% of the value of the package.
  3. If the package is cancelled less than sixty (60) days before the scheduled start date of the stay or on or before April 15 or May 15 of the year of the package, the package is 100% non-refundable.
  4. Airline tickets are non-refundable at all times.

The following conditions are valid for all our packages including three (3) nights or less in one of our establishments.

  1. In the case of a package cancelled thirty (30) days or more before the scheduled start date, the entire package is refunded, but an administrative fee of $50 (plus taxes) is applicable.
  2. If the package is cancelled between twenty-nine (29) and eight (8) days before the scheduled start date, the equivalent of the first night's rate is non-refundable.
  3. If the package is cancelled within eight (8) days of the scheduled start date, the package is 100% non-refundable.

Cancellation must be notified in writing. We recommend the purchase of cancellation and/or trip interruption insurance that will protect you against these cancellation fees for reasons of illness or death. Please contact us for more details.

This policy does not generally include any exceptions for any reason, including weather conditions that may occur before, during and at the end of your stay, as weather is a variable beyond our control, and is a determining factor in the delivery of some of our activities on our sites, especially for sites that use float planes or aircraft such as Lac Victor - Natashquan and Rapid Lake Lodge Inc. This policy also applies to cancellations or interruptions due to a personal emergency.

However, in specific cases involving considerations such as force majeure, accident or illness, the management reserves the right to analyze each particular situation, and possibly to propose alternatives.

No refunds will be given for late arrival or early departure. No refunds will be issued for services not used during the trip.

If the cancellation of one or more persons changes the basis of occupancy of the room(s) and/or cottage(s) for the person(s) still traveling, the latter will have to pay the amount of the price difference incurred by such a change of occupancy. This rule also applies to air and seaplane charter rates.

Airfare and flight schedules are subject to change without notice. As the company has no direct control over these arrangements, the company assumes no responsibility for any additional costs or time losses that may result.

In the event of cancellation of a package by the company, all amounts paid by the customer will be refunded, which constitutes full payment. In such event, the customer will be notified no later than forty-five (45) days prior to the scheduled arrival date. The company is not responsible for any expenses incurred in connection with such cancelled trips, such as the purchase of airline tickets, goods and services in anticipation of the trip, or reservations for hotels, lodging and other accommodations outside of our own facilities. This list is not exhaustive and is provided for illustrative purposes only.

1.3. EXCEPTIONAL CIRCUMSTANCES DUE TO COVID-19

All our establishments are located in remote regions, far from any large urban center. The counterpart of such a unique and exotic trip for you translates on our side into an organization planned more than 5 months in advance, consequent expenses also more than 4 months in advance, and our commitment to suppliers sometimes more than 6 months in advance, as goes the same for the recruitment of our experienced guides.

The following conditions are valid for all our packages including more than three (3) nights in one of our establishments.

  1. In the event of cancellation due to a government shutdown or governmental provisions that make it economically and/or socially unreasonable for the company to carry out the package, and which result in one or more of our locations being unable to provide services in whole or in part, then all the amounts committed will be credited towards a future trip valid for the next two (2) years under the same Terms and Conditions. In the specific case of Rapid Lake Lodge Inc., we cannot guarantee that you will have the same dates, even if we do our best to satisfy you. This credit is transferable but not refundable.
  2. In the event of a cancellation on your part that is not related to a government travel ban, whether the reason is personal, medical, family, business, or other, we invite you to purchase cancellation insurance. Our team is here to advise you and accompany you in this process while informing you of the possibilities available to you and the conditions attached. Cancellations made for the reasons stated above are non-refundable.
  3. In the event of a cancellation due to a positive COVID19 test, we may give you a credit equivalent to the value of the amount paid, valid for two years in one of our establishments, depending on the considerations attached to your package. This credit is transferable but not refundable.

The following conditions are valid for all our packages including three (3) nights or less in one of our establishments.

  1. In the case of a cancellation due to a government order, the entire package is refunded, but a $50 administrative fee (plus taxes) is applicable.
  2. For any other reason, the general conditions apply. We invite you to subscribe to a cancellation insurance. Our team is there to advise you and accompany you in this process.

Since your stay will take place in remote areas, where Indigenous and non-Indigenous communities are living in close proximity and for whom COVID-19 poses a serious threat, we want to do everything possible to protect them. Therefore, depending on your region or country of residence and according to national and regional health guidelines applicable to the dates of your stay, we will inform you of the measures to be taken before your arrival. Once you have arrived, we will ask you to follow the current protocols and to immediately report any symptoms that may arise regarding your health.

In the event that the governments (provincial and/or federal) require or recommend precautionary measures before any tourist stay we will ask you to follow them, and we will ensure that they are respected.

For our part, all of our establishments are committed to respecting and practicing the highest sanitary standards set by the governments and our member organizations in order to ensure your safety as well as that of our employees.

1.4. PRICE AND PRICE GUARANTEE

In accordance with the law, the price of the tourist services sold can only be increased as a result of the imposition of a fuel surcharge by the air carrier. However, the Company also reserves the right to modify its rate in the event of a considerable increase in the price of oil, taking into account that most of our packages include motorboat service or the use of equipment requiring fossil energy and that some of our establishments use seaplanes or airplanes to transport their equipment, food and other necessities. In the event that the price increase, without taking into consideration the increase in the Quebec Sales Tax (QST) or the Canadian Goods and Services Tax (GST), is equal to or greater than 7% of the price of the services, the client may choose between: (1) cancellation of this contract and immediate full refund of the price, or (2) acceptance of similar services that could be offered at the same price without which the price difference would have to be fully assumed by the client. No price changes can be made less than 30 days prior to the date of your stay. Any price reduction resulting from a promotion or decision by the Company applies to new bookings only.

Unless otherwise stated herein, our package prices are in Canadian dollars (CDN$) and include provincial (QST for Quebec) and federal (GST for Canada) sales taxes.

1.5. CHANGE OF RESERVATION

It is your responsibility to enter your name as it appears on your passport or other official travel document when booking a package that includes a flight. In the event that the reservation requires a name change, a fee will be applied (variable depending on the change to be made and the airline's conditions). In all cases, the modification of one or more names of the participants in the package could result in modification fees.

1.6. SPECIAL CONDITIONS: TRANSPORT OF LUGGAGE

If your trip includes a portage portion to access your wilderness accommodation, your personal baggage must not exceed ninety (90) pounds or forty-one (41) kilograms. The weight of personal baggage transported by seaplane is limited to seventy-five (75) pounds or thirty-four (34) kilograms per person. Any excess weight requiring the use of a second seaplane or a larger aircraft will result in additional costs that you will have to pay locally to the airline.

1.7. SPECIAL CONDITIONS: TERRITORIAL ACCESSIBILITY BY SEAPLANE AND USE OF AIR TRANSPORT

The following conditions apply to all packages including seaplane or other bush transportation such as Twin-Otter or helicopter. This transportation is operated by an external company called here the carrier. This mode of transportation is subject to weather conditions and therefore, we cannot guarantee the accuracy of the schedule. In the event of unfavorable weather conditions, and for your safety, the carrier may decide to delay your entry into the country or your return from your trip. In such a case, both the company and the carrier cannot be held responsible for any inconvenience related to this situation, and no compensation can be claimed.

In addition, these delays may result in additional costs for the customer in the event that he/she has to stay longer in the territory, in the order of a minimum of one hundred (100) dollars per person per additional day depending on the site in question. This amount includes lodging and meals on the territory but excludes fishing rights or any other organized and guided activity.

In the case of a customized package including transportation by bush plane, and if the latter, while in progress, has to turn back due to unfavorable weather, the costs incurred for this flight will be billed to the client and the latter will have to pay an additional cost to reserve and schedule another flight to reach his destination.

2. SPECIFIC CONDITIONS ATTACHED TO THE DIFFERENT TOURIST SITES
2.1. SPECIAL FEATURES FOR THE LAC VICTOR SITE AND/OR ANY COMBINED PACKAGE BETWEEN THIS SITE AND ANOTHER CARAÏBES NORDIQUES SITE OR TERRITORY OR ANOTHER PROVIDER-PARTNER

For the Lac Victor site itself, it is always possible to get there by portage if your physical condition allows it, knowing that the only physical effort required is a 30-minute walk in mountainous and uneven terrain. The portage from the meeting point to the main site of Lac Victor takes between two hours and forty-five minutes (2h45) and three hours and a half (3h30). Thus, you will always have the right, if the seaplane cannot fly, and if the organization on site allows it, to substitute your air travel with a boat and land travel. At all times, this substitution cannot be reimbursed and, depending on the conditions (use of additional people, etc.), may be subject to an additional cost that can never exceed 15% of the cost of the seaplane.

For any combined package, between this site and another territory which requires the use of the seaplane, the company as well as the carrier cannot be held responsible for the inconveniences related to a meteorological situation which would prevent the execution of this flight or would delay it or would prolong it, and thus of the service in its whole or partially, and no compensation could be claimed in any way that it is within the framework of the realization of this package as well as of the consequences related to the realization or non-realization of this package.

2.2. RAPID LAKE LODGE AND BARNOIN CAMP TERRITORY

Your stay at Camp Barnoin Ecolodge or Rapid Lake Lodge requires the use of different types of aircraft. Due to the complexity of the organization of your stay and the required synchronization of all modes of transportation and the importance of local weather conditions for intra- and inter-site transportation, even though we make every effort at all times to provide you with the best service and to ensure that all planned activities are carried out. In no case can either the company or the carrier be held responsible for inconveniences, delays, cancellations, consequences related to any of these modes of transportation, and no compensation can be claimed from either the carrier or the company and no reduction in the price of the package paid can be claimed.

2.3. BARONNIE DE KAMOURASKA TERRITORY

The use of a dirt, gravel and rock forest road is required to get from the main road 287 South to the main accommodation site. This road is nine (9) kilometers long. At no time can the company be held responsible for the conditions of this road, over which it has no right or power, since it is the responsibility of the Ministry of Transport or the municipality of Mont-Carmel. However, we make sure to maintain it in the present state so that automobile type vehicles can use it even if we recommend the use a pickup truck or a 4X4. At no time can the company be held responsible for damages caused to vehicles.

3. RESPONSIBILITIES

It is your responsibility to arrive at your lodging or any other place mentioned as the departure point of your package at the time and place indicated. The company is committed to make the roads on its territories practicable for the use of a motor vehicle. However, the company shall not be liable for inaccessibility due to circumstances beyond its control and authority, and shall not be liable for damage to vehicles for any reason whatsoever unless direct and wilful fault on the part of the company can be proven. You further discharge the company from any kind of responsibility for your use of the roads and trails in each of the territories, and you acknowledge that you do so at your own risk with full knowledge of the relevant facts. Within the framework of organized, supervised, accompanied and guided activities, the company undertakes to implement all safety measures directly related to the activity itself when appropriate.

The company assumes no responsibility for physical, material or moral damages resulting from force majeure or unforeseeable events or causes beyond the company's control and reserves the right to cancel or modify a portion of the trip or the entire trip for these reasons. In such circumstances, the company will make every effort to offer its clients equivalent services, but the latter will not be entitled to any compensation for loss, damage or injury, physical or moral, resulting from these changes. As required by law, we carry liability coverage of two million Canadian dollars ($2,000,000) in each of our territories.

It is the client's responsibility to be sufficiently healthy and autonomous to undertake a stay in our territories, and he/she must disclose in writing his/her pre-existing health condition at the time of reservation.

In the event that a client has a conduct or condition that is detrimental to other clients during their stay, they may be required to stay at the main site at best and leave the site at worst. In the latter case, he/she will have to assume all the expenses caused by his/her conduct/condition.

4. OFFICIAL DOCUMENTS AND MATERIALS

It is your responsibility to ensure that you are in possession of all the official documents required for the realization of your stay and the routing of your luggage. The company is in no way responsible for air, road, sea or other transportation, or any other unforeseen event that may affect your stay in one of our territories. Our collaborators must verify if you have the mandatory documents (fishing and hunting permits, right to carry weapons, etc.) to ensure the good progress of your stay. If necessary, the manager of the territory will be obliged to make you buy them.

The company provides you with the number of life jackets and/or bibs corresponding to your needs in each of the cottages and/or rooms in order to respect the safety instructions on the territories and the regulations that govern our activities. All these rules and regulations will be communicated to you upon your arrival before starting any activity. The company is in no way responsible for your use or non-use of the equipment provided and for any accidents that may occur due to lack of vigilance on your part, especially when you are in an unorganized and unguided activity. In the context of organized, supervised, accompanied and guided activities, you will have the obligation to respect all the instructions and safety measures that will be given to you. In case of refusal to comply, the person in charge can exclude you from the activity at any time, and you will not be entitled to any compensation.

It is recommended that you obtain personal insurance for your trip. The company is committed to providing you with equipment and material in good condition and suitable accommodation offering all the necessary comfort when it is a cottage (hot water, shower, toilet, stove, refrigerator, lighting, wood heating, etc.) and suitable accommodation offering minimal comfort when it is a nomad camp or bivouac (shower, lighting, wood heating, etc.). You are responsible for the proper use of this equipment and the material entrusted to you during your stay, and you must assume any damage and/or breakage caused by you.

5. INDIGENOUS TOURS, EXCURSIONS AND EXPERIENCES

The tours, excursions and native experiences included in our packages may be subject to change, especially due to holidays (both civic and religious) or bad weather conditions. The company cannot be held responsible for these changes. If possible, the company will replace the activity by a similar one or may propose to do it at another time than the one initially planned.

The cases of force majeure do not entail any compensation for the client.

6. MINORS

A minor cannot make a reservation for a stay and/or activities or occupy an accommodation alone. The client must specify the exact age of the children at the time of booking, as well as that of all the members of his group/family. All minors must be accompanied by an adult. The company reserves the right to add a supplement to the price of the stay if the minimum age is not respected.

6.1. ACTIVITIES AND EXPERIENCES

Any minor who has a fishing or hunting license in his or her own name will be considered in our pricing as an adult, and therefore must have all the official documents required for the realization of his or her stay.

Any child from 0 to 8 years old accompanying an adult during an experience or an activity (fishing, hunting, ecotourism) is not charged if his presence does not imply the provision of a guide and/or an additional boat or vehicle.

6.2. LODGING AND MEALS

Our commercial policy for sites accessible by road (Château Johan-Beetz, La Corneille and Baronnie de Kamouraska) is as follows:

  • Total free of charge for children 0-2 years old staying in their parents' room. Please note that some of our sites are not fully adapted to accommodate children of this age, please contact us for more information;
  • 3 years old to 8 years old: free lodging for children who sleep in their parents' room; meals are charged at $10 (+ tax) for breakfast and $25 (+ tax) for lunch or dinner;
  • Ages 9 to 17: same benefits and billing as adults for meals and lodging (including those staying in their parents' room).

7. ACCESSIBILITY FOR PEOPLE WITH REDUCED MOBILITY

The company is committed to making several of its sites accessible to people with reduced mobility by the 2022 season, and all its sites by the 2024 season.

8. ALLERGIES AND INTOLERANCES

The customer must advise the company at the time of booking, or as soon as possible, of any allergies, intolerances and/or specific dietary requirements so that the information can be passed on to the operational staff in the territories.

9. TRAVEL INSURANCE

For Quebec residents, it is strongly recommended that you take out insurance covering the risk of cancellation before your stay. We recommend that you consult us to find out the conditions.

For your peace of mind, the company recommends that all clients take out insurance covering the risks before and during their stay, including medical coverage for the entire duration of the stay that takes place outside their province or country of residence.

10. TIPS

We suggest that each client leave a tip of approximately 10 to 15% of the price of their stay excluding transportation (before taxes), regardless of the site. This amount is given to the person in charge of the management of the site. The tips are divided equally among the employees, as they all contribute directly or indirectly, visibly or discreetly to the realization of your stay and to your moments of happiness. There is no obligation to give a supplement to your guide. This gesture also contributes to teamwork, collaboration and cooperation. It is understood that tips are at your discretion. A satisfaction questionnaire will be given to you during your stay and we ask you to complete it in order to send us your comments. Obviously, all comments and suggestions are welcome at any time.

11. LES CARAÏBES NORDIQUES™ COMMITMENT TO THE WILDLIFE QUALITY OF ITS TERRITORIES

The company's management guarantees the wildlife quality of its territories, particularly for its terrestrial, winged and aquatic fauna and their Indigenous character, fauna that has never required the intervention of man since the dawn of time for the territories of Château Johan-Beetz, La Corneille and Lac Victor as well as those of Camp Barnoin and Rapid Lake.

The company's management guarantees the quality of the Baronnie de Kamouraska's wildlife, particularly its terrestrial and winged fauna, and their Indigenous character fauna that has never required human intervention. However, for its aquatic fauna, despite the presence of a native stock, the management resorts to stocking at least once a year, at the beginning of the season.

By 2024, each of these territories will be responsible for an integrated, responsible and sustainable management of its faunal, floristic and geological wealth in connection with the development of the cultures that live and share these territories, and will put in place a waste management policy, will ensure that no discharge can alter the quality of the soil, will promote at all times the use of renewable energies, will build according to the principles of green architecture, and will link with the communities, local and regional socio-cultural pillars through shared and concerted actions.

We are also committed to minimizing our carbon, material and human footprint on these territories, while respecting the carrying capacity of the territory and the support capacity of the communities living there, while continuing to carry out traditional activities.

From our point of view, to take care and protect these territories means to be able to live with, by and from the territory. Our mission is to contribute to the reintegration of human beings into these preserved spaces so that they can once again live in symbiosis with the environment that welcomes them for the duration of an experience and a stay, hoping that this approach will inspire them in their daily lives.

12. LES CARAÏBES NORDIQUES™ GUARANTEE

The company is committed to doing everything possible to provide you with a beautiful and inspiring experience at every stage of your reservation and stay, so that you are guaranteed the same quality of service, attention and welcome.

If your trip does not deliver the experience you were promised, we are committed to acknowledging your disappointment and working with you to remedy the situation. When you book a vacation with Les Caraïbes Nordiques, we become partners. It is our job to help you choose and prepare for your trip and to design a worry-free adventure that lives up to or exceeds the promises of our literature and staff.

It is your responsibility to choose a trip that suits your abilities and interests, to familiarize yourself with our policies, to prepare the recommended equipment, to share our travel philosophy and then to enjoy the experience.

If we fail to live up to our end of the bargain, we will work to find an acceptable solution. For us, the relationship with our customers is our first priority and we want it to be mutually rewarding and lasting.

13. COMPANY BYLAWS

Every client is obliged to respect the "internal rules" of our company on all the visited territories. The document in which the rules are listed will be sent to you with your registration form and/or will be given to you upon your arrival. You must read it before the beginning of your stay.

Each of our territories responds and will respond as our knowledge advances to a strict wildlife policy that involves traditional knowledge and scientific knowledge to ensure not only the natural renewal of our wildlife heritage but also its preservation and protection, and the harmonization of uses in respect of the different cultures that inhabit the same space.

You must agree to respect this wildlife policy and, to the best of your ability, share with us all the information and observations you have collected during your stay. We commit ourselves to share with you all our knowledge.

Within the framework of harvesting activities such as fishing and hunting, we can modify the wildlife policy at any time, always in the direction of wildlife conservation.

14. MEDICAL SERVICES

We recommend that you take out insurance before you stay to cover the risk of cancellation.

For the Rapid Lake Lodge Inc. and Lac Victor sites, even though the first is a 2-hour flight from Kuujjuaq, and the second is a 2.5-hour seaplane flight from the Havre-Saint-Pierre hospital, the use of aircraft for emergency transportation to these medical facilities is essential, but also depends on weather conditions. Indeed, in the case of seaplanes, they can only fly visually. In order to optimize your safety on these two sites, we subscribe to an Airmedic coverage. This guarantees emergency medical assistance. Additional costs not covered by the insurance (e.g. disinfection of transport equipment following the evacuation of a person with an infectious disease) will be charged to the client.
